Imagine a Jira environment powered by nearly 3,000 active automation rules driving the operations of a large-scale digital company. Within a 30-day window, the audit log recorded almost 12,000 throttling events—critical rules repeatedly hitting the platform’s execution limits, including the vital workflow responsible for assigning change approval groups.

The real-world impact? Blocked approvals, delayed support routines, and an operations team that only realized something was wrong after business-critical processes had already failed.

To make matters worse, there was a silent compounder: whenever a rule got throttled, the immediate knee-jerk reaction was to create a duplicate contingency rule. However, these copies were funneled into the exact same overloaded queue—ending up throttled just as quickly. It became a self-reinforcing loop that escalated with every incident.

Two Fronts, One End-to-End Solution

Front 1: The Diagnosis No One Could Crack

By cross-referencing four distinct environment analyses—an executive assessment, audit log forensic analysis, monthly consumption metrics, and a remediation plan—we turned a vague problem into a precise blueprint:

  • Six specific rules accounted for all confirmed throttling (with the most critical rule failing almost daily).

  • A single rule cluster generated roughly 152,000 executions per month.

  • The root cause was architectural—meaning it was fully fixable.

From this diagnosis, we built a three-wave remediation plan, ranging from immediate rule hygiene to full structural refactoring, prioritized rule-by-rule using hard data.

 

Front 2: Protecting Operations While Executing the Plan

Optimizing hundreds of rules takes weeks. But who safeguards daily operations in the meantime?

We decided to go beyond traditional assessment deliverables by designing, testing, and validating an automated failover system—in essence, an automation framework that manages the automations themselves:

  • At 80% limit capacity: The on-call team receives an automated Slack alert containing the exact rule name and diagnostic metrics—a yellow flag before any operational impact occurs.

  • At 90% limit capacity: The automatic switch triggers. The system identifies the rule at risk, disables the original, and activates a governed contingency rule. This fallback rule is standardized, audited, and engineered to prevent the throttling loop caused by ad-hoc duplicates—keeping business workflows running seamlessly without users ever noticing.

  • End-to-end traceability: Every switch is logged and notified, directly feeding into the prioritization matrix for subsequent optimization waves.

 

Validation in the Lab

To ensure flawless execution, we built a dedicated lab environment. We replicated the client’s architecture at scale, using thousands of issues alongside intentionally heavy automation rules. We watched the full cycle execute completely autonomously—detection, replacement, and notification took place within seconds, requiring zero human intervention.

Solving the Problem at the Root and the Surface

Here is what this initiative delivered to the client:

  • No more sudden outages across critical workflows (safeguarded by the failover mechanism);

  • An end to ad-hoc, ungoverned workaround rules, replaced by a standardized fallback process;

  • An evidence-backed, prioritized remediation roadmap;

  • A fundamental shift in operational posture: Moving from discovering issues after a failure to being alerted in advance and resolved automatically.
